INFORMAL INVITATIONS

Main Characteristics:
Informal invitations follow the pattern of ordinary personal letters. These letters are written to relatives, friends and acquaintances.
(i) These letters are first/second person presentations.
(ii) Personal feelings and emotions find an expression.
(iii) The writer’s address is given in the usual place.
(iv) The salutation is usually ‘Dear’ followed by the ‘name’.
(v) The date of writing is given, but the year is generally omitted.
(vi) The style and tone are relaxed and informal.
(vii) Different tenses are used as the sense demands.
(viii) The complimentary closing is: ‘Yours sincerely’.

Invitations are extended to relatives, friends, acquaintances and clients on a number of social occasions like marriages, births, engagements, deaths or other public functions.
Invitations are of two types. - 1) Formal Invitations 2) Informal Invitation
While formal invitations are sent for the above mentioned occasions, many people also send a handwritten informal invitation beforehand to make these occasions more personal, cordial and intimate as is appropriate to their relationship.

Replying to invitations is essential. It is an essential courtesy to the host who has extended an invitation and also helps the host know how many guests will arrive so that he she may make arrangements accordingly.
Like the invitations, replies to invitations also may be:-
• formal replies
• Informal replies

Formal Invitations:-

Formal invitations are sent in offical capacity for public functions except in the case of Marriage/Anniversaries.
• A simple yet elegant printed card is preferred.
• Invitations are written in the third person.

Example:- Mr. and Mrs .S Surendran request the pleasure of the company of Mr. and Mrs.

• Note that the English etiquette requires the husband's name to be written first.
Example:- Mr and Mrs G Joseph

• Avoid use of abbreviations for the names of guests, days, dates. However, the abbreviations RSVP. (Respondez s'il vous plait) which means 'Please Reply' is put at the bottom.
• The subject matter is written in the centre setting. Details like address, dress code or any other instructions are written at the bottom to the left or the right as per choice or convenience.

Important Points
The invitation is laid out so that each of the following is in a separate line:
• the name(s) of the host (s) issuing the invitation
• the standard expression 'request the pleasure of the company of ………….'
• the reason for the invitation.
• the time and date of the event.
• the venue of event
• In case a VIP is to be invited (at an official function), his/her name appears prominently
• In case of Printed cards, the name of the invitee may not figure in the invitation.
• The date of issuing the invitation is not mentioned.
• No punctuation is required at the end of a line.
• The simple present tense is used.

FORMAL invitations and INFORMAL invitations

They can be printed on cards or can be drafted in the form of letters.

FORMAL INVITATIONS

Formal invitations are sent to relatives, friends, acquaintances on special occasions. A simple and elegant card is printed for formal occasions. In such cases, invitations are written in third person. (Ex. Mrs and Mr S. Sundaresan request the pleasure of the company with …). Avoid use of abbreviations for the names of guests, days and dates. The subject matter is written in the centre setting.

Important points to be noted while designing an invitation in the card format.

¶ Name of the host
¶ Formal phrase of invitation , for example :‐
o Request the pleasure of your benign presence/company.
o Seek your auspicious presence.
o Solicit your gracious presence on the auspicious occasion.

¶ The date, time and venue of the event.
¶ The occasion/reason of the invitation.
¶These are written in the third person. In case a VIP is invited as the chief guest the name of the VIP must appear prominently.
¶ Name of the invitee is not to be included. The addressee’s address is to be written only on the envelope.
¶ Simple Present Tense is to be used.
¶ The date of writing is not to be given.
¶ There is no signature of the host.
¶ The abbreviation RSVP (French : repondez s’il vous plait ) i.e. ‘please reply’ is written below on the left with name(s), address and phone number of the host(s)
¶ Put the invitation in a box.
¶ The font size needs to be varied to show the differences in the lines of the invitation.
¶ Word limit - 50

Replying to an invitation is essential for two reasons

¶ to appreciate the host’s kindness in inviting you to the occasion
¶ to let the host know whether you are attending the function or not in order to enable him/her to make arrangements accordingly.
The layout of a formal reply to an invitation is much the same as the invitation itself.
1. The lines may be written in ordinary prose but the language used is formal.

2. The reply is written in the third person and there is no address or date.
3. You may accept or decline the invitation.
